The Role
The Congress Event Coordinator is responsible for the day-to-day execution of congress engagement logistics and serves as the primary coordination resource for customer engagement activities. This role manages meeting requests, scheduling updates, attendee communications, and operational support before and during congresses.
The Coordinator works closely with customer teams, thought leaders, vendors, and internal stakeholders to ensure engagements are successfully executed.
What You'll Do
- Manage congress engagement logistics from planning through execution
- Coordinate meeting requests, updates, schedule changes, and attendee communications
- Maintain accurate engagement records and tracking systems
- Monitor action items and follow-up activities across multiple teams
- Serve as a primary operational contact for assigned congress programs
- Coordinate room schedules, meeting logistics, and attendee requirements
- Support thought leader and employee communications
- Troubleshoot logistical issues and escalate risks when necessary
- Provide on-site support during congress execution
- Create and provide reporting, reconciliation, and post-congress activities
- Support multiple therapeutic areas, teams, and engagement programs within customer accounts
Requirements
- 2+ years of experience in event coordination, congress management, customer operations, or project coordination
- Exceptional attention to detail and organizational skills
- Strong communication and stakeholder management abilities
- Ability to manage multiple priorities in a fast-paced environment
- Experience with scheduling platforms, CRM systems, or event technologies preferred
- Experience in life sciences, healthcare, or pharmaceutical events preferred
- Ability to travel for on-site congress support, ~40% expected

Compensation
- Base pay: $45,000 - $60,000
- The salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. Please note that actual salaries may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
