Key Responsibilities

Office & Facilities Management

  • Oversee daily office operations to ensure a clean, organized, and functional workplace

  • Manage office supplies, equipment, and inventory; negotiate with vendors and service providers

  • Coordinate facilities maintenance, repairs, and office improvements

  • Ensure compliance with health, safety, and workplace regulations

Administrative & Operational Support

  • Develop, implement, and improve office policies, procedures, and workflows

  • Manage calendars, meeting schedules, and conference room logistics in tandem with the Senior Executive Assistant

  • Prepare reports, documentation, and internal communications as needed

  • Support leadership with administrative tasks and special projects

People & Culture Support

  • Serve as the first point of contact for office-related questions and needs

  • Support onboarding and offboarding processes, including workspace setup

  • Foster a positive, inclusive, and productive office culture

  • Assist with internal events, team meetings, and company initiatives

Financial & Vendor Coordination

  • Track office budgets and expenses

  • Coordinate with accounting or finance teams on payments and reporting

  • Manage contracts and relationships with vendors and service providers

  • Coordinate new office set up (furniture vendors, communicating with the building and architects, etc)

Technology & Systems

  • Maintain access control, systems documentation, and basic tech logistics

  • Support adoption of tools that improve office efficiency and communication

Qualifications & Skills

Required

  • 5+ years of experience in office management, administrative operations, or a related role

  • Strong organizational and time-management skills with excellent attention to detail

  • Excellent written and verbal communication skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Proficiency with office software (Gsuite)

Preferred

  • Experience managing vendors

  • Familiarity with HR or people operations support

  • Experience in tech startups/ AI environments (not required but preferred)

  • Problem-solving mindset with a proactive, service-oriented approach

  • Proficient in operational systems technology and eager to learn new tools; experience with systems like Notion, ClickUp, ChatGPT ideal.
