Executive Assistant, Assurant, India

Coordinates administrative processes & prioritizes, directs, & responds to business matters. Creates & maintains associated documents, spreadsheets, databases, meetings, special events, etc. Alerts management of critical issues & upcoming events. Interactions may be US and International. Should have ability to manage projects.

This position will be for Bangalore/Hyderabad at our India location.

What will be my duties and responsibilities in this job?

Budget

  • Resolves discrepancies & over/under budget problems, etc.
  • Process expenses including travel reimbursement, invoice payments. etc. Verifies invoices& expense reports, &/or resolve problems or issues. Some budget accountabilities.

Coordination

  • Manages calendar - supervisor's &/or dept.
  • Coordinates travel arrangements.
  • Organizes & coordinates events which may include creating timelines.
  • Collects agenda items & background materials.
  • Coordinates complex itineraries involving domestic &/or international travel, etc.
  • Prepares annual event, conference &/or meeting budget.

Contacts

  • Screens & prioritizes incoming calls.
  • Responds to inquiries.
  • Provides basic interpretation of policies & procedures.
  • Research information to resolve problems or issues.

Work Complexity

  • Executive Assistant uses an advanced knowledge of skills, methods & practices & some innovation, analysis, & reasoning to choose appropriate alternatives from among pre-defined policies & procedures to complete work that includes successive steps & involves some non-routine problems &/or decisions.
  • EA completes majority of activities without direction & informs manager of on-going progress &/or potentially controversial matters.

What are the requirements needed for this position?

Education and Experience Requirements

  • Bachelor's degree required.
  • 4 years' administrative support or other relevant experience required.

What other skills/experience would be helpful to have?

  • Intermediate knowledge of Word, Excel, PowerPoint, and Email.
  • Examples of skill level: WORD - Using the Reveal formatting payne, merging & splitting table cells, inserting section breaks, inserting section headers & footers; EXCEL - sending worksheets via e-mail, sorting and filtering lists, creating, formatting & modifying tables, calculating sum, average and count values in a filtered table list; POWERPOINT - cropping a clip art object, adding movie clips & sound clips, creating a hyperlink; OUTLOOK - customizing a menu bar, creating a group, creating a group
