You will support the daily facility, administrative, and engagement needs for our agent, leader, and other site functions. The ideal candidate will have excellent organizational and project management skills, be able to communicate effectively across a variety of cross-functional partners, and exhibit enthusiasm and positivity throughout the course of the day.
What you do at Avant
Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors, and contractors performing building maintenance, landscaping, and janitorial work. Reviews work orders to ensure that assignments are completed
Act as an Avant ambassador both within the walls of our facility and in the broader community welcoming guests and visitors to an organization in person or over the phone, as well as directing them to or scheduling them with the appropriate personnel
Responsible for facilities inspections and reports
Coordinates and manages moves, adds and change activities, and provides general administrative support
Obtains and reviews price quotes for the procurement of parts, services, and labor for projects
Respond to all internal and external general site inquiries while on site, over the phone, through email, or via instant messaging systems
Own all facility vendor management, coordinating with Corporate budget owners and vendor oversight teams
Manage the daily upkeep of the corporate office (i.e. coffee machine maintenance, breakroom and fridge maintenance, tracking and ordering of supplies)
Maintain general knowledge of all aspects relating to the facility, effectively and efficiently leveraging cross-functional resources to solve problems or address questions as they arise. This may include local IT, security personnel, floor leadership, HR/Recruiting, and the Site Director
Comply with and accurately share knowledge of all site policies and procedures
Support a healthy and dynamic culture, exhibiting optimism, empathy, professionalism, and respect
Manage incoming and outgoing mail, packages, and check runs
Handle paperwork and maintain accurate records of all incoming and outgoing items
Maintaining mailroom equipment, such as postage machines and mail sorters, and collaborate with Business Owners to ensure that all mail is handled and delivered in a timely and efficient manner
Perform other responsibilities as assigned
Why you're a fit
Minimum 3-5 years of experience in office administration and facilities management.
Proficiency with office applications.
Strong time-management and people skills with high degree of flexibility to adapt to shifting priorities
Proactive and solution based with strong ability to problem solve
